How to Use This Template
This spreadsheet template tracks all your business expenses across the full tax year in one place. It includes columns for date, description, category (stock, fuel, equipment, insurance, pitch fees, subscriptions, marketing), amount, payment method, receipt reference, and whether it's tax-deductible. Summary tabs total expenses by category and by month, giving you a clear picture at year-end.
Fill it in as you go — receipts get lost and memory fades. Photograph receipts on the day of purchase and note the amount immediately. At the end of each month, reconcile against your bank statement to check nothing's missing. The category column makes it easy to see where your money actually goes.
This is your best friend at tax return time. HMRC allows you to deduct legitimate business expenses from your taxable income, so tracking them properly means you pay less tax. Stock, fuel, pitch fees, insurance, phone bills, software subscriptions, and equipment all count. Keep the tracker and receipts for at least five years after the January deadline.
