Your diary and your crew.
Sorted.

Three things, done properly
The diary, the crew and the money. Leads and quotes are in there too, but this is what you'll open it for.
The diary that knows pencilled from booked
Your whole season in one place, with a warning before you double-book a Saturday.
- Every booking is confirmed or provisional, colour-coded on month, week and day views
- A clash warning when you put something on a date you've already got something on
- Venue, postcode, setup time and service time on each booking
- Days off, holidays and blocked weeks kept out of the diary
- Google Calendar sync, so bookings show up next to your personal life
Put names on gigs, not just dates
Every booking shows who's working it. Your staff see their own gigs without asking you.
- Invite staff with their own login, as a manager or as crew
- Assign people to each booking and see the team calendar, holidays included
- Holiday requests and approvals against an allowance
- Clock in and out on the phone, with timesheets you approve each week
- Certificates per person, with reminders before they expire
Know who's paid, and what the gig made
Deposits and balances tracked per booking, and a profit report that tells you if the festival was worth the diesel.
- Deposit and balance per booking, with due dates and red, amber, green status
- Reminders to the customer when a deposit or balance is due, and again if it is late
- Fuel, stock, pitch fees and other costs logged against each event
- Profit per event, with staff cost pulled in from the timesheets
- Quotes from saved items and packages, as a PDF with your business details on it
The admin nobody warned you about
You're good at the food. The diary and the crew are what keep you up at night.
Who's working Saturday?
Three group chats, a paper diary and a text from Tuesday. Nobody has actually said yes.
Pencilled or booked?
A provisional in August that you treated as confirmed. Then the real booking came in for the same day.
The balance was due last week
You know you're owed money. You're not sure how much, or by whom, and you're too British to ask twice.
Did the festival make anything?
Great weekend, big takings. After diesel, stock, the pitch fee and four days of wages, nobody knows.
Hours on the back of a napkin
Who did eleven hours and who did six? Payday is a guess, and someone's always short-changed.
Certificates expire quietly
A Level 2 ran out in March. You found out when the organiser asked for it in June.
We ran into every one of these in our own vans.
Read why we built itThree steps. No training.
Most people have their next month in by the end of the first evening.
Put the season in
Add each booking as provisional or confirmed, with the venue and times. The diary warns you if a date clashes, and it syncs with Google Calendar.
Put names on each gig
Invite your staff, give each booking its crew, and let them clock in and out on the day. You approve the hours at the end of the week.
Get paid and see what it made
Record the deposit, let the balance reminder go out on its own, log the costs, and read the profit per event. Staff cost comes straight from the timesheets.

VendorPad is made by Hotline Labs Ltd in Tonypandy. David Cooper, who runs it, has been building software for over twenty years. He also runs a mobile catering business, Welsh Italian Pizza, with his wife Bex.
The app came out of running those vans. Working out who's free for a wedding on the far side of Cardiff. Chasing a balance that was due last Tuesday. Getting home from a festival with no idea whether it made any money. We run our own vans on it.
There are no customer logos on this page because we haven't earned any yet. When we have, you'll see them here with names on.
The whole story-
Caterers first
Every screen was built for a hatch, a queue and one free hand.
-
UK only, on purpose
Pounds, postcodes, bank transfer by default, food hygiene levels that mean something here.
-
We answer our own email
hello@vendorpad.app goes to the people who wrote the code and work the van.
Need food hygiene records too? CaterPad does that.
Opening and closing checks, fridge temperatures, deliveries and the records pack an organiser or EHO asks for. CaterPad keeps those. VendorPad keeps the diary, the crew and the money. Same people built both.
The questions we get at wedding fairs
Short answers. The long list is on the FAQ page.
Your diary. Your crew. Your phone.
Put next month's bookings in tonight and see who's working each one by the weekend. Every feature is open for 14 days, no card needed.
