How to Use This Template
This spreadsheet helps you work out what to charge by calculating your true costs per event. It includes sections for ingredient and stock costs, fuel and travel, pitch or commission fees, staff wages, equipment depreciation, packaging, and your target hourly rate. It outputs a minimum price per event (your break-even point) and a suggested quote price with a healthy margin built in.
Enter your actual costs for a typical event. Be honest about travel distance, stock usage, and how many hours you're really working — including prep the day before, loading, travel, setup, service, breakdown, and cleaning after. The calculator shows what you need to charge just to break even, and what you should charge to actually earn a living.
