How to Use This Template
This spreadsheet projects your income and expenditure month by month so you can see when money's coming in and going out. It includes rows for expected bookings and deposits, regular outgoings (insurance, vehicle finance, storage, subscriptions), variable costs (stock, fuel, pitch fees), and one-off expenses (equipment purchases, MOT, Gas Safe inspection). A running balance shows whether you'll be in the black or red each month.
Fill in confirmed bookings and their payment dates first, then add your known fixed costs. Estimate variable costs based on your trading history. Update the forecast weekly as new bookings come in or costs change. The running balance column is the critical number — if it dips below zero, you know you need to act before it happens.
Cash flow kills more small businesses than lack of profit. You might be profitable on paper but still run out of cash if a big payment goes out before your invoice gets paid. This forecast gives you weeks of warning so you can chase deposits, delay a purchase, or line up work to fill a gap.
