How to Use This Template
This log tracks every stock delivery to your business with the detail needed for food safety compliance and financial records. It includes delivery date and time, supplier name and driver, items received with quantities, condition on arrival (packaging intact, no damage), temperature on arrival for chilled and frozen goods, any discrepancies against the order, the receiving person's signature, and notes on issues raised with the supplier.
Check every delivery against your purchase order before signing the driver's paperwork. For chilled goods, probe the temperature immediately — it must be 8C or below. For frozen, -18C or below. If anything arrives above temperature, damaged, or short, note it on both your log and the delivery note, and contact the supplier the same day to arrange credit or replacement.
Delivery records are a food safety legal requirement and a key part of your HACCP and traceability documentation. If a food safety incident is traced to a contaminated ingredient, your records show which delivery it arrived in, which supplier provided it, and what temperature it was at on arrival. Environmental health officers check these during inspections. Keep completed logs for at least 12 months.
