How to Use This Template
This invoice template is tailored for photography and videography services. It includes your business details with UTR or company number, client information, invoice number, event date and description, itemised services (coverage hours, editing, prints, albums, travel, rush delivery), deposit already paid, balance due, VAT breakdown if registered, payment terms and methods, and your delivery timeline for the final images or footage.
Show each service line separately even if you quoted a package price — clients appreciate seeing the value breakdown, and it helps if they want to add extras later. Reference the original booking contract or quote number for a clean paper trail. Deduct the deposit clearly and show the outstanding balance prominently.
Send the balance invoice within 48 hours of delivering the final images. Photographers often delay invoicing by weeks, which delays payment. Include your image delivery timeline on the invoice as a reminder. For the self-employed, keep copies for at least five years for HMRC — you'll need them for your self-assessment tax return. Number invoices sequentially (e.g., VP-2026-042) so your records stay tidy.
