How to Use This Template
This template gives you a set of standard terms and conditions you can attach to quotes and booking confirmations. It covers payment terms, cancellation policies, liability limitations, force majeure (bad weather, venue cancellations), dietary disclaimers for food vendors, and intellectual property clauses for photographers and videographers.
Work through each section and adjust the wording to match how you actually operate. If you offer refunds up to 14 days before an event, say so. If you charge a travel fee beyond a certain radius, include that. Delete any sections that don't apply to your type of work — a DJ doesn't need the food safety clause, and a caterer doesn't need the image copyright section.
Attach these to every quote you send out. Having clear T&Cs from the start avoids awkward conversations later — especially around deposits, last-minute changes, and cancellations. Print a copy for your records alongside the signed booking contract.
