Nobody starts a mobile business for the admin. You started it for the craft, whatever yours is. August is the month the paperwork quietly slides. Fair enough. But September has a habit of arriving with wedding enquiries on top of Christmas applications on top of tax letters, so here's a single hour of jobs that makes autumn dramatically easier. Six tasks. One brew. Go.
1. Check every expiry date you own
Insurance, food hygiene certificate, PAT certificate, gas safety, vehicle MOT. Five dates, written down where you'll see them, with a reminder set a month before each. We've covered why organisers ask for these, and the vendors who lose bookings over paperwork are almost never missing the document. They just let it expire quietly. Ten minutes.
2. Chase what you're owed
Scroll back through the summer's bookings and find the unpaid balances, the deposit that never arrived, the corporate job from June still "with accounts". One polite message each, today. Money you've earned but not collected isn't income, it's a loan you didn't agree to make. Ten minutes. Often the best-paid ten minutes of your month.
3. Reply to the ghosts
Every enquiry from the last three months that you never answered (or answered once, then dropped). A two-line message revives more of these than you'd expect: autumn dates are still open, here's the link, lovely to hear from you. Couples planning next summer's wedding are enquiring right now. The supplier who replies is ahead of the three who didn't. Ten minutes.
4. Photograph everything while it's summer
Your setup looks its absolute best in August light with a crowd behind it. Take fifty photos at your next gig: the van, the food, the queue, your hands working. That's the website refresh sorted, plus winter social content, plus the Christmas application photo, all in one go. Come November you cannot photograph a sunny festival. Five minutes now to plan it. It pays all year.
5. Back up the phone that runs your business
Your bookings and client chats and half your accounts live on one device that spends its weekends next to a fryer. Check the cloud backup is actually on and actually recent. While you're in settings, save your key contacts somewhere that isn't just the handset. A drowned phone should cost you a phone, not a trading history. Five minutes.
6. Book September's admin before September
Christmas applications, wedding fair stands, the money check if you skipped it, gas engineer if your certificate runs out in winter. You don't have to do any of it today. You just have to put each one in the diary with a date, because a job with a date happens and a job on a someday-list doesn't. Ten minutes.
💡 Pro Tip
Do this hour on a Monday morning after a big weekend, not a day off. You're already in work mode and the weekend's loose ends are fresh. It also protects your actual day off from becoming admin day. Guard the day off. It's the only thing on this list that keeps you sane in year three.
The hour, honestly
None of these jobs is hard. Their power is that they're the exact jobs that turn urgent in September, done calmly in August instead. An expiry caught now is an email. An expiry caught at the event gate is a lost day's takings and an awkward phone call. Same job, wildly different price.
Make the hour a habit
Our free Annual Compliance Calendar holds every expiry date in one place, and the Multi-Event Packing List stops the other kind of August chaos.
